The scenario that you describe cannot be achieved via CRM section, because leads are not granted any access to the system. What I can propose you how you can work with potential employees - is to invite them as external users to the workgroups (they will have a limited access to your portal - will see only docs and conversations of the particular extranet group you invited them to join). You can set access permissions to the group drive as group members=access denied, and after give access permissions to each individual file you upload there (group drive>choose file>settings>access permissions>add user>than choose read\edit option).

Please note that if you do not want to use the Extranet option you can also give your potential employees external links to files (when connecting Bitrix24.Drive) - in this case they will note have an access to the portal, but you may send them files links).

In the CRM section files can be added to leads 2 ways: custom field for leads (file type) - in this case files will be bind with the lead but you will have to download them to your local mashine to view: or you can add files to the lead's activity stream and choose the folder where you want to save them (click saved location in the message upload window) - you can choose the group drive with pre-set access permissions (see above) and later set access permission to this file inside the group's drive to the particular user. Please note the leads will be vivible to the CRM users according to the access permissions granted to CRM roles for leads. BTW please take into account access system main rule: [B]If a user is assigned various roles (e.g. belongs to both a workgroup and a department which are granted different roles), the [U]user will always be granted the highest level of access allowed by the various roles.[/U][/B]

Creating CRM reports containing custom fields

Unfortunately, we do not observe this problem on our PCs - please submit a ticket to our [url=http://www.bitrix24.com/support/helpdesk/]Help Desk[/url] asap - with the following information:

1) please check if the start date and deadline of these tasks are correct when you view them separatedly from reports section or do you observe this problem too when you view the general tasks list in tasks section. Please advise the answer in your ticket.

2) please advise if you have edited the premade task report template - if yes - which lines have you modified? please advise in the ticket.

3) does the problem repeat in the other task reports templates?

Adding Group Calendar?
Hi Doug,

For absense you and other employees can use [url=http://www.bitrixsoft.com/support/training/course/index.php?COURSE_ID=55&LESSON_ID=2471&LESSON_PATH=5157.5332.2471]Absence chart [/url](Company>Absence chart).

If you are talking about a workgroup calendar - please create a new group or open an existing one, click Calendar - here you can add events for all memebers of this group (when you click add - in the new event creation window - you may notice that the group's calendar is chosen by default in the "calendar" line).

For the group members to view this calendar they need either to go to this group page and open the group calendar or they can add (configure) this group calendar to my space>calendar section - so that they will see all calendars at one place.
To add the group's calendar to your calendars list please:
-  click "configure" next to the Favorite calendar line.
-in the Group calendar section please choose (tick0 the name of the group which calendar you want to add). Save.
- enable (tick) new caledar name appeared in the favorite calendar list.
Now events from the this group calendar will be displayed in your calendar.

Please note that you do not need to use the admin mode to do that, and each group memeber can do this for himself if needed. The currency is not set by default in Deals section, so you need to choose the deal currency from the list when creating a new deal. This is so because different deals may be in different currencies. Additional Information' – this action creates an assignment during which a user will be asked additional information necessary for BP execution. The assignment will appear in the Workflow menu (of the user who was asked for this additional information).

Thanks for the suggestions, please note that CRM iteams like leads, contacts, companies, deals lists can be imported to Bitrix24 in CSV file format, as for products list import and CRM items history\actions import- I've added your suggestion to the feature request list.

Subtasks expanded view, like + icon pushed as default view

Unfortunately the tasks view you have requested is not available. There are the following ways to view task list:

1) "group subtasks" enabled - you will see the "+" icon that you will have to click to view the subtasks
2) " group subtasks" not chosen - flat view, all tasks will be displayed without parent-subtasks relation
3) gantt chart - the parent task will be displayed with "+" icon - you will need to click to view the subtasks

Edit standard invoice template
Hi Jeroen,

You can create your own invoice template with Doc Designer app - please note that when this template is created you will need to apply it from Doc Designer section > Deals> invoice template. As for Bitrix24 CRM main section - you can only partially edit several invoice fields when you create a new one - settings>form settings - though several invoice fields are mandatory and cannot be deleted from the form.

Please also note that you can add several info to your invoices in CRM>settings>payment and invoices>edit bank transfer. You can also add taxes and locations there (CRM>settings).

Now Send&Save works only when you resend the email directly to CRM email address (not BCC) and include [B]CRM item's email address in the first line of the body of the message - only[/B].

Please note that in case with deals the email may become connected to the contact this deal is associated with.

We have plans to add the following feature - when the Bitrix24 user resends an email with a code (like [DID#10] in the theme (to) of the email to the CRM inbox email address - it is connected via Send&Save with this particular Deal. Now this functionality works only for emails sent from email addresses not associated with Bitrix24 (not B24 users emails or CRM emails).

How I edit the conversion of lead in to a company?
Hi Smart,

Generally, convert form fields cannot be changed\edited, but there are several things you can edit - for example "company type" options to choose from (CRM>Settings>Selection lists>Company Type - here you can delete or\and add company type options). As for "responsible person" field - it cannot be changed.

BTW - you can also add new custom fields to the company's section of CRM - they will be displayed in the convert form too (CRM>Settings>Custom fields>add).

Adding Event tab to Activity Deal Tab, View Events in Deals tab under Activity
Hi Shankkar,

Unfortunately, events cannot be displayed in the Activities section. Let me explain: events tab is in fact our old inherited functionality (that we kept for some of our clients who get used to it) - we advise you to use meetings tab (along with email\call)  for any kind of activity you plan to perform - it will be displayed in the list of Activities of the CRM item. You can also use event tab for any meetings\events that you want to be recorded in the CRM item history list. For example you can fill in the event form with some information that you want to be recorded in the history of the deal. etc.

Unfortunately the expenses tracking options is not available, as for Lists:  CRM and Lists can be bind only through CRM parameter "bind to information block", but such parameters (characteristics) are not taken into account in the CRM reports.
Optionally - please note that you can create a[url=https://www.bitrix24.com/apps/dev.php] marketplace app[/url] for Bitrix24 CRM that will integrate our CRM with 3-rd party expenses tracking service (if you know a good one) - you can either create it yourself or contact one of our [url=https://www.bitrix24.com/partners/index.php]certified partners[/url] with the suggestion.

Sales Representative Report, Adding deals name and products

To add name of deals please open the sales representative report and click edit. In the report wizard please click add (see screnshot)



tick Deal>Name.

Also here you can add deal product name Deal>product>deal products.

Please note that columns can be moved by means of up\down arrow tabs (it will change the order of columns displayed in the report)
Please make sure you haven't enabled (tick) the calculate column for Deal and product names - otherwise they will be calculated and shown as numbers but not names. (see screenshot):


BTW you can use filter on the right side from the report to set report time \ responsible person name, etc.

Deal view problem and activities
I see, the reason is this column displays only the tasks with nearest deadline or end date. Please note that if you will change (add) deadline or end date to the existing task now - it will not be displayed in activities - this is our bug that will be fixed soon (just for your information for the nearest time). It works correct when adding new tasks.

Dear Paolo,

I can propose you 2 solutions to solve your task: to start with Company Drive - this is a document library that is common for all users of Bitrix24, though you can set several restrictions here. Please note that access rights given to the Company Drive will be inherited by its folders (like it is written in your screenshot sample  "all authorized users"=edit" - inherited from Company drive).

1) you can create a group for the limited amount of users (invite them to the group as group members) and make the group private with access denied to other users - and upload and store necessary docs there.

2) you can restrict access to Company Drive and its folders:

You would have to change access permissions to the Company Drive in general (because due to your screenshot there is a line  "all authorized users"=edit" - that access rule is inherited from Company drive access general settings -  this line gives all your portal's users access to this folder)

Please note that access permissions work according to this rule:

if a user is assigned various roles (e.g. belongs to workgroup (departments) with different CRM access roles), the user will always be granted the highest level of access allowed by the various roles.

This means you need to make sure that the user from group "scansione documenti" is not among any users\ groups\departments whom you give access to the Company Drive. In other words access permissions to particular folders inside Company Drive can be extended to specific groups or users but not limited because of this rule. This means you can give your Company Drive quite restricted access but extend it to special folders inside.

Deal view problem and activities
Hi Valdas,

1. If you want other users to see "available for all" deals - please give these users corresponding access permissions (through CRM role). For example: go to CRM>Settings>Access Permissions>add these users and give them a CRM role (for example - manager), then set access permissions to this "manager role" (Role>edit) - please choose read=all open for deals. Save.

2. To see tasks list in Activities section please click of Tasks Tab filter on the top panel.

Registration problem, incorrect checkword
Hi Josen,

Sorry to hear that. In fact, only the latest (newest) email invitation should work, this type of error refer to the checkword used in the  link which you can find in the invitation letter, these links are different each time you send a new invitation, that is why only the latest invitation sent can be recognized by the system. Normally you should be able to click this latest email link and you will be transferred to the registration form.

To edit the emloyee's belonging to the group please go to Company>Employees>click settings icon next to the employee's name>Edit.  In the departments line please choose the necessary department.

If you need to edit the departments structure please go to Company>Company Structure> here you can add new departments or edit existing ones.

Due to your screenshot these are not simply different departments but main department (Supervisione...) -subdepartment (Fabrica)-sub-sub-department (Scansione). If you need different groups of employees to have different rights to docs - you need to create one-level departments with different rights. For example:

(Supervisione...) -(Fabrica)-(Scansione)
(Supervisione...) - (Fabrica)- (new)
etc.

or simply
(Supervisione 1)
(Supervisione 2)

This is necessary because the rule is -  if a user is assigned various roles (e.g. belongs to workgroup (departments) with different CRM access roles), the user will always be granted the highest level of access allowed by the various roles. In your sample (screenshot) this user will belong to all of these 3 groups just because these groups are head group-daughter group structure.

Now Bitrix24 users with commercial subscriptions can add a custom image (a company logo) in the top-left corner of their portal. To add a custom image (company logo), please log in to your Bitrix24 account as the portal admin, then go to Settings > Intranet Settings > [scroll down page] "Upload Logo".
Please note that the maximum dimensions for your logo should not exceed 222px by 55px.
