You can filter tasks in mobile app by such parameters as: my tasks, assisting, set by me, following, deffered, completed, etc. (filter option is in the top right corner - arrow icon).

Leads organization, Is possible organize leads with a group or similar?
Please go to CRM>Settings>Custom fields>Lead - add field. Give a name to the new field (for example Group name), please choose the filed type (string - if you want to enter group names while creating or editing lead, list - if you have a small amount of groups you want to choose from while creating or editing leads). Please make sure "use in filter" option is enabled. You can also enable "multiple" option that will allow you to choose\set more that 1 group for each lead. Please note that "requred" option will oblige you to choose at least one group for each new lead added - so apply it if needed only.

If you choose "list" type of custom field - you will see a new section in the custom field creation menu appeared (please see screenshot)

Unfortunately this option is not available. You can filter leads by various parameters, for example you can add a custom filed to the lead's from and specify a group's name there, after you will be able to filter the full leads list by the name of the "group" custom field.

Unable to delete Lead

Please check if there are really no contacts or companies connected with this lead - you can do this by opening the lead's details page - open contacts and\or companies sections and check if there is at least one item there - if yes - this is the company\contact this lead is converted too and you will not be able to delete the lead without deleting this company\contact.

Please advise if you've found the converted to element or do you need a further assistance?

Give access permission
Hi wei teng yeo,

To exclude the employee fr om the access permission group - you need to exclude him from the workgroup or department to which this access is granted.

For example, if the access is granted to the workgroup wh ere this employee is a member - please open this group>Actions>edit users>members> tick employee name>actions>remove from the group. That's all, this employee has been excluded from the workgroup and access permissions granted for this group are not spread on this employee anymore.

Another sample is if this employee is inside a department that is granted access permissions, in this case you need to exclude him from this department\move to another department with no crm access rights. To do that please go to Company>employees> find this employee>settings>edit>departments> choose another department to move him to (with no crm access rights) or simply shift him to the upper level of company structure (no department, he will be under director then).

As you have mentioned - if the absence is added via their personal calendar (not via the Absence Chart) - in this case it shows up on the personals calendar.

Bitrix24 for Windows chat function, When a user use the chat function, he can see his own talk however not the partner's. However when using the admin login it worked fine. I think it is our firewall setting. Can you provide us, what is the server address or link that need to be unblocked t

BTW - it is easy to know the fromat for imported fields - you can export the list of leads with the needed fields filled (date in your sample) - in CSV file and check. Please note that you will have to add the fileds columns you need to be exported to the leads list preview first (CRM>Leads>Edit list>list columns>tick needed fields (date of birth for example)> apply.

But this can be changed in Group>Actions>Feature settings>Photo gallery - here you can choose who will be able to edit the gallery and who will be able to view the gallery. The choices are: only group owner, group owner and moderators, all group members, authorized users, all visitors.

Link Task to Lead

Actually both tasks created in CRM section (fr om concrete lead for example) and also tasks created in my workspace>tasks section and bind to CRM item - should be displayed in your my workspace>tasks section.

Please [B]check the tasks filters [/B]- if the task you're missing is not deferred (postponed) ("showing tasks" filter), if you have created this tasks ( or set "showing tasks....by all" filter). Please also check the sections above - ongoing, assisting, set by me, following, all.


Please advise if the problem still exists? If yes please provide the following screenshots: 1 - of this task opened (details). 2 - of the tasks list wh ere you cannot find it (so that the filters are seen).

Give access permission
Hi Wei,

You will have to exclude this employee from the group(s) which is(are) granted a CRM access role, the reason is that - if a user is assigned various roles (e.g. belongs to workgroup with one CRM access role and also has an individual CRM access role), the user will always be granted the highest level of access allowed by the various roles.

It means you need to give this user an individual access role only. To do that please:
- exclude this employee from the group(s) which is(are) granted a CRM access role
-  create a new role with only "view leads" access
-  give this role to this concrete user.

This task can be solved by creating different groups - a separate private group for Office Management and separate group for Accountants, where access to different activities will be granted to different group roles (users - for open groups, group members, group owner, owner and moderators ).

In the group settings menu  - you can set access to tasks and conversations - please note that you will have to group users in roles (users, members, group owner, owner and moderators) - access can be set using these roles, unfortunately there is no option for individual access permissions (choose by user) and\or departments access.  

For example, if you need accountants to have access to make posts only, but no access to make comments to it - this can be set in conversations settings:
create posts - all group members (accountants and tops)
create comments - group owner and moderators.
In this sample your accountants are group memebers, your tops are group moderators.

There are 2 ways you can bind emails with CRM items now: please note that you will have to resend emails  to your special CRM email adress with a reference to the definite CRM entity in both cases, please read below:

-  to make sure that messages will processed and stored properly (to the right CRM entity you need), choose one of these ways and resend this email to your special email CRM address:

   1) If a [B]user sends an email to the CRM’s address [/B]and [B]puts the addresses of various CRM objects[/B] (Leads, Contacts, Companies) in the [B]first line of the body of the message[/B], the system will add the message to all objects which contain any of the addresses included in that first line. (For example the lied's email address)

2) If a [B]user (not applicable to your employees[/B] until they use email address registered in Bitrix24 - this option may be added soon)[B]sends a message to the CRM’s address and includes an expression [/B]that corresponds to the “Resolve Entity Using the Expression” listings in the Send&Save settings, such as [LID#48], [DID#88] [B]in the theme (title) of the email,[/B] the message will be added to the object indicated by that expression. (for example you can include lead's ID (sample [LID#48] ) to the email text message).

Synchronising Google calendar with Outlook and Bitrix24, Synchronising Google calendar with Outlook and Bitrix24

When Bitrix24 calendar is synced with Google calendar,  all Google calendar’s events appear in Bitrix24 calendar (repeated events also).  Please note that in this synchronization a new calendar is created in Bitrix24 (“My google calendar”) – if you will sync it with Outlook, then Outlook will not allow to add events to it (one way sync – from Bitrix24 and Google to Outlook).

[url=http://office.microsoft.com/en-001/outlook-help/transfer-calendars-between-outlook-and-google-calendar-HA010167495.aspx?redir=0]Outlook and Google calendar sync[/url] – only import is possible, meaning the sync is not performed automatically.

When you sync Bitrix24 calendar and Outlook calendar -  a new calendar is created in Outlook, this new calendar is not connected to the Google calendar.

Please note:
1) you need to add all the contacts fields you need to export to the contacts preview list
(CRM>Contacts>Edit lists>List columns> tick all fields you need to export>click Apply

2) the field "use in contacts export" must be enabled in contact's details.
(if you need to enabled export for the group of contacts: add "export" field to the contacts preview list > choose (tick) the contacts where you need to change the export filed> click edit (pencil icon at the bottom of the list).

The access permission rules will work ok if you will set them the following way

for example you can create several folders in this group (folder for Ann and folder for Mike) and set permissions to the particular folder as:
admininstrators - full (if needed)
all visitors - denied
group owner - full acess (if the owner is the person who creates the quotes for example)
group moderators - denied
group memebers - denied
then click ADD tab & give personal access (Ann for folder for Ann \ Mike folder for Mike)

In this case Ann will see only her "Folder for Ann" folder in Group's drive and Mike only his "Folder for Mike". The files will be accessible from the email creation wizard in CRM.

Please note - if a user is assigned various access roles (e.g. belongs to a workgroup and is given a "denied access" to a particular folder in this group's drive), the user will always be granted the highest level of access allowed by the various roles.

You can give your sales persons one type of access right (role) and yourself (the person who creates quotes) another (extended) access role. Unfortunately the only solution for files is attach them to the custom field (you can choose multiple type) - the inconvenience will be that you would have to download the file to the local machine and then attach it to the email.

BTW: a Quotes section will be added to Bitrix24 CRM soon.
