When to start as a Lead vs a Contact, Procedure process question

Thanks for the positive feedback, as for your questions:

1) when the lead as you to postpone - he\she stays as lead, as he\she remains your prospect - there is a status in leads called "on hold".
2) it depends - mostly on the probability of the deal, if your prospect is just getting around - he\she is lead, if he\she is really interested and ask for details or a  quote - in this case this is deal, where you can also set stages (for example - in development, waiting for details, etc) and probability %. For your comfort - you can add the probability field to the Deals list preview (Deals>Edit list>List columns>Probability>Apply) and filter all your deals by probability.

To send an email to all of your contacts please click "for all" option at the bottom of the contacts list - there would appear a message - asking to confirm that you want to perform this action for all contacts on all pages - click agree, then choose action "send message" and click "Apply".

1)  you can attach a file to the message in the CRM item (lead\contact\deal) Stream - it can be saved in this message or you can choose a place in Bitrix24 where you want to save it (your files, group files, etc). You will be able to find this file in the lead\contact\deal stream line or in the folder where you will save it.

2) you [B]can add a custom field[/B] to the Lead\deal\contact creation form (CRM>Settings>Custom Field>add field>[B]type= file[/B], tick multiple). This means you will be able to download files directly to the lead\contact\deal details page- and it will be stored there - so you can access them from the details page directly, but you won't be able to open them without downloading to the local machine (no online doc preview in this case).

To build this report please follow these steps:

1. Open "Involvment with Project" report form (click edit)

2. Here is the example of the report form I can propose to you (remember you can always change it)

The [I]Add[/I] button adds a new column to the report. (screenshot 1) You can move the lines with the help of up and down tabs (2). The [I]Calculate column[/I] option (3) lets you show a value in the report that is calculated using other values. This could be a sum or a count of unique values in the column. [B]Do not tick the square tabs [/B](calculate tabs) if you need the names and dates to be displayed as they are, but not summed up or counted.

Delete all the unnecessary columns titles from the columns section & arrange them the way it is arranged at the screenshot: [B]completed by[/B] (the tasks was completed by), [B]name[/B] (the task name), [B]project: name[/B] (the name of the workgroup the task was set), [B]time spent[/B] (if you use time tracking feature in tasks - if not you can delete it if you want), [B]completed on [/B](date the task was competed).

Please note that[U] I've deleted responsible person from the report -[/U] as the task may be closed by other participant and as I understood you're billing your employees on the basis of who has completed the task. You may change this if you need.

4. In the sort by column field set [B]Completed by: Last name [/B](4).
5. In the Filter section you can add "[B]completed by:Last name" filter[/B] - so that you can filter your report by the name of one employee after; and "[B]status equal to completed[/B]" - so that you may filter the list of all tasks and leave only completed ones.
6. Save.

In case you need the date when the task was created (to calculate how many days it took) - you can insert a line "created on" or "start date"  before "completed on" in the columns section.

BTW you can export the report to Excel file if you need.

This is only a suggestion, remember you can always ajust the report form the way you need.

Customer details on invoice, How do I add more customer details on invoices
Hi Ben,

You can add contact's birthday dates - to do that you need to[U] create a new custom field[/U] for Contacts section.
To that please perform the following steps:
1. Open CRM>Settings>Custom fields>Contacts>Add field
2. In the new custom field settings please set field name (for example "contact's birthday";), choose type <date\time>, default value <no>.   Save.
3. Go to CRM>Contacts>Add new contact
4. In the new contact creation form click <fo rm settings> icon
5. In the Form Settings please move new field (Contact's birthday) from the "available fields" column to the "tab fields". Save.

Now you will have a new date\time custom field in your contact form.

Unfortunately, the [U]contact's birthday reminder cannot be set within the existing CRM sections[/U], but this task can be solved by creation of [U]special Business Process[/U]. Unfortunately this option is not available now. The difficulty is that the particular  caller ID can correspond to different CRM entities (deal\cotact\company). We paln to solve this issue this year.

As for your company info on the invoice - please open CRM>Settings>Payment and Invoices choose payment by bank and click edit. Here you can set your company's payment details, your logo and invoice background. As for the contactor's details - unfortunately you cannot add custom fields to the invoice form now, I can advise you either to add VAT number to the company's "legal adress" section - it will be displayed in the invoice then; or you can download free Bitrix24 app - Doc Designer (Marketplace) and create an invoice template there. Please note that you will be able to use this template only in Doc Designer app.

Moreover, you will get a reminder notification of the upcoming call.

Need to replicate tasks and products, we have many repeated tasks and its a pain to type them in

If you need to [U]set a recurring task[/U] - it can be done in the task from (Full Task Form>More>Repeat task).

Please note that you can also [U]duplicate task to multiple responsible persons[/U] - if you need the same task to be set independently to different persons.[B] But [/B]if you have 1 responsible person and others are participants - you will need to add participants within one task form, without making duplicates. Please note that making task duplicates will mean that several persons will need to execute same kind of task, and finish\close them independently. If your team is working on the same project - use tasks roles of a "responsible\participants" or observers (full tasks form>more. observers).

As for the CRM Deals - you can copy the deal ("action" menu next to the deal name in the deals list) - the new deal edit mode with the insert deal parameters will open - so that you can only change dates and save.

You cannot assign responsible to the product itself, but you can [U]work with Deals[/U]: for example you've created a catalog with the list of products and after you go to the Deals section and create new deal (probable) - there you can add products fr om the catalog, set deal probability, change its status, bind the deals with your contacts or companies, set income, add comments, etc.

As for the Tasks section - it can be bound with such CRM items as leads, contacts, companies or deals, not the product catalog.  But (!) - you can set tasks inside a particular deal - for example your sales person has several deals wh ere he is a responsible, and you need to give him a specific task(s) within one of his deals, you open the deal and set the task. This section can also be used by the salesperson himself - he can set himself tasks, plan and make calls,  send emails, etc.

For your case - what about CRM section of Bitrix24? You can set your products there (catalog), in leads or contacts sections - you can set your clients, after that you can assign responsible for the product sale to a particular client via Deals section. Moreover, CRM section also has Reports (for example Deals by Sales Representatives - you can filter by the time period you need (for example this month), see number  of deals won and lost, amounts) These Reports can also be modified.

What do you think about this scenario?

Please advise if you are talking about this scenario ? (please see screenshot) Actually now you need to confirm the time set by pressing green tick icon, and then you can click finish task or you or other tasks participants can also add time spent notes. For example you can set "negotiations" - 2 h., then add "business trip" - 12h, etc.

Actually, you can create special reports in Workgroup>Tasks>Reports section. Please note that you can either add new report or edit the existing report templates. In the Task Report Wizard you can set the conditions you need.

Taxing only some items

First of all,  for "location" type taxes there is an option for taxes "include tax in price" - that can be switched on\off. You can find this option in CRM>Settings>Taxes>Edit tax>Tax Rates>Edit tax rate> include tax in price. If you will switch off this option - the tax will be "added later".

[/QUOTE] Actually you can use same location based type of tax - create several "locations" - [U]which not necessarily need to be locations[/U], but can be set as "USA - California" city - "vegetables", another location city will be "study service" or "no tax location" etc.

It may be comfortable if  you call location cities as numbers of the tax rates (please set numbers as words, not 0 - but zero).  For example location "USA-California- eleven" , etc. Then create new taxes and bind them with the locations. For example you can bind "no tax location" with 0% rate tax. As you may see the location based tax system is quite flexible - so you may use it the way you need.
