associating contacts to multiple companies
Hi Paul,

The contact can not unfortunately be associated with more then 1 company with the help of this standard field. But here is the solution - you can create a custom field with a multiple condition  - it will allow you to bind 1 contact to more then 1 company

Here is how to add this custom field:

1) CRM>Settings>Custom fields>Contacts>Add field
2) Give name, choose type "Bind To CRM Elements". In the field  "Available entity" choose "Company".  
3) check "multiple"
4) Save.

Please note that it will be a one way association: the Contact will not appear in the Company's details.

You can add tabs to this line (stream activity deals...) with the help of form settings


Create new tabs and move your custom fields there. (you need first to drag these custom fields from the tabs they are now to the available fields, then drag them to new tabs you've created). Please note that the tabs may appear empty if the custom fields will not be filled. (for example if in your new Tab you have custom field City - and for the particular contact the city was not chosen - the Tab will appear empty).

Hi,

Unfortunately, templates created in Doc Designer App can not be set as default for Bitrix24 standard invoices. The scenario is - you create a DocDesigner template and after you choose a deal, lead, company or contact from the list (in DD app) and apply the DD invoice template to the chosen CRM item.

Companies can be viewed by all users, User can see all companies not just their own personal

Unfortunately the Companies section in the Access Permissions block does not provide as many access options as other CRM items. We are aware of this feature necessity and I can say that this functionality will be extended soon.


The only solution for now - is that each sales person will have an access only to those companies where he is a responsible person.  To do that you need  to give your sales people an "all open" access level for companies - and they(salespeople) will have to un-tick "available to all" option in their companies details.

In this case - if the access permissions are set for department A & B to "personal, department, subdepartments" - then users of department A and B will not see each other contacts but only personal (also department and subdepartments).

How can Admin assign responsible for the group of CRM items:
1. Choose items (tick) from the list (of leads, contacts, etc) - note that you can use "all" option if you need to assign all items to one responsible.
2. in the actions section (below the list) choose assign responsible, choose responsible, apply

This can be set up in the Access Permissions CRM Settings - as limitation to a [B]department access [/B](access granted to personal, department and subdepartments users). In other words you need these users to be working in different departments, otherwise there is no possibility to set access restrictions by group parameter.

To do that:
- go to CRM>CRM Settings>Access Permissions
- click Add access permission
- choose Departments (please do not pay attention to the group section, this scenario is not available), choose the name of the department you want to give a limited access.
- create a new role for this department (Roles>Add)
- in the role - set access as personal, department and subdepartments - wh ere necessary
- next to the department name (for example Marketing department: all department employees) choose the new role.

Now access will be granted due to the settings you've maid - the Department X employees will see only their own and this department's colleagues CRM entities.

To do that click Add in the Form Settings window "Tab fields" section


In the Section devider window set the name of the future devider line (import details in my sample). Save.
The line will appear at the bottom of the list, place in above the field name that should appear below this devider (with the help of up and down tabs) Save.

You can choose which fields will be displayed in the form by placing them either in "Tab Field" - left column, or not shown in the form - put the ti the right column in "available fields".

Please do not pay attention to the Tabs section (this functional is limited now  - it allows to create additional tabs, but they will not be displayed in your Bitrix24 now)

Please note that if you need to create\import contacts [U]with new list line (New York[/U] for example) - you should first add this line to your Bitrix24 custom filed (list). (You can edit custom fields in CRM>Settings>Custom Fields>Contacts>Templates>edit). You can set as many cities in the list as you need.

Taks with different meeting dates

Unfortunately, the tasks sync with external calendars is not available. The tasks in Bitrix24 are displayed in the Bitrix24 "Tasks calendar" only.

You can add meeting to your iCal directly from Bitrix24 - to do that choose this calendar in the calendar event creation form.

Actually, there is a "view" limitation - and it is 5K, which means all your 61K is in B24 and you can access them by applying different filters (you can check). We apologize for the inconvenience and lack of information on this issue in our resources, the reason to this limitation is the speed with which the product works.

As for the export - it should be working well; unfortunately I can only advise you to stay in contact with our Help Desk regarding this issue.

I fail do delete a Business Processes template, Cannot delete the business process template because one or more active business process(es) exist using this template.
Unfortunately we do not observe on our Pcs any problems with simple CRM BP delete action. Taks with different meeting dates
Hi Luis,

There are different ways to set tasks and meetings in Bitrix24, here are several scenarios for you:

1) [U]Calendar:[/U]

You can either create meeting inside Bitrix24 Calendar and add there guests amoung other B24 users or add CRM entities (contacts for example) to that meeting. To add CRM elements click "More" in the Event creation form> Select CRM items. Please note that events connected with CRM items will be marked in your calendar with "CRM".

2) [U]Tasks[/U]:

You may create tasks with subtasks (after you've created a parent task, click New task > Full task Form>More>Parent task) - you may add participants to the task (users of Bitrix24) or\and CRM elements (contacts). The last ones can be added by clicking "Full task Form">"More">CRM items select.

3) [B][U]Work groups[/U]:[/B]

I would suggest Workgroups is [U]the best scenario in your case[/U] - you can create a special group for the definite project and set inside tasks and meetings that will be connected with this particular group.
More than that, you can invite your students as Extranet users to the particular group - it means they will have a limited access to Bitrix24 (only to this group). Please find more info on the[url=http://www.bitrix24.com/about/blogs/community-blog/workgroups-extranet.php] Extranet [/url]here.

Are you sure all your 61K customers have been successfully imported to Bitrix24? If yes - please check if this customers data is really less then 61K - the reason is we've faced several cases when the total number was displayed wrong, though the physical amount of entities was correct.

Modifying templates

As for Doc Designer - after you've created an invoice template, you should go to Doc Designer choose CRM entities group (leads\cotacts, etc) click on the tab next to the entity name and choose the template.



Please note that you had to set  this template availability for the definite type of CRM entity (leads, contacts etc) in the doc template settings (Parameters>Tempalte available for).

Saved Searches or Filtered Task View Tags
Hi Jeff,

Unfortunately you cannot add a new filter with the conditions to search by tag field (created in the task form) - we've put the suggestion to the Dev team.

But what you can do is add tag to the task name and search by new filter with the condition <name contains tag> (for example name contains lemon>.  Please note that can help you to solve the problem with the saved filter for the particular tag (you can create several filters), but you will be able to filter only by this tag name. To do that you need:

1. Go to Tasks>All>click on the Filter Tab



2. In the Extended Filter form click <Add>. In the Create New Filter form click <Add condition>.
Set the condition Name contains tag (for example lemon). Save.



3. Set the tag for your task in the name field. Apply the special tag filter. As you may see below you will have a list of tasks with the word lemon in it's name.


Though the solution is not as comfortable as tag search , hope it will help.

  2. The CRM privacy can be set in CRM>Settings>Access  Permissions . Please find more infohere
  3. We do not have Quickbooks integration at the moment, we have plans to add it.

As for CRM tasks - you can set them if you find this scenario more comfortable for the proper planning. The CRM tasks reminder can be set as "Remind by date....". Here you can choose if you want a message reminder or by email.

Please note that the tasks section can be used as you wish, but the "new call" , "new meeting" functionalities were designed especially to solve this specific type of CRM activities, that is why if you find the current product scenario lacking something - please let us now. The scenario description can be quite helpful.

Unfortunately we cannot tell you what is wrong with your BP from the only screenshot you applied, because we do not observe this error on our PCs when performing similar (as we do not know which exactly) actions. These "conditions" actions you are setting up are not explaining in the training course, but you can open the BP templates in your portal's "Documents" section - you may find the templates helpful.

Please note that we do not provide a step-by-step guidance to individually designed BP creation - though our advanced users have a technical opportunity to design such BP themselves. First of all, IMAP server adress is wrong - your adress is a  local one and Bitrix24 will not be adble to put a connection to it, please enter an IMAP server adress that will allow an access not only for your office (local), but a global one.

Second, please try to enter full login (full email) - it may or may not be necessary depending on the server's settings. We advise to try both ways.

Unfortunately there are no settings available to choose which event types to include into the default (CRM) calendar. If you want to separate CRM events and other calendar's events, then here is what you can do: your employees should create a new calendar and mark it as "Add all invitations fr om other users to this calendar" - this is the calendar wh ere your employees should themselves add those events not connected with CRM. In this case the "default calendar" will be left for CRM events only.

Please note that the above-mentioned scenario will not unfortunately help to check availability of the concrete employer when creating a new event from the CRM - this is a feature suggestion for our Dev team.

Also note that the calendar can be displayed not only as "month" view, but also as "week" or "day" too - that may help you and your employees to ease orientation in the "events-rich" calendars.

BTW [U]users can create events in their calendars and bind CRM entities to it.[/U] if you need to bind the event to a CRM element, click Select (More tab) to find and attach one. It will mark the event in the grid with a three-character chevron "CRM".

I can only see my local PC [/QUOTE] The "Event" section is a rudimentary scenario part that we plan to reject soon, the section was left because of some technical issues. Please note that the "event" name may confuse you as we consider the following event types: call, meeting, email, task.
This means we [U]advise you to use [/U]not "event" but other scenario sections like -[U] call, meeting, email, task[/U] - where you can add or drag-and-drop files from within Bitrix24.

If you still need exactly "Event" section of Bitrix24 - [U]please give an example why [/U]do you use this exact section.

Meanwhile what I can propose you in this case - is a[U] Bitrix24.Drive sync[/U]. Because through the existing "Event" form you can attach files only from your local PC , we advise you to synchronize your Bitrix24 files with B24 Drive - to enable access to B24 files from your local PC. In this case you will find the CRM attached files in your PC's folder Bitrix24>Downloads Please note that synchronization with company files via Bitrix24.Drive is not yet available but will be added soon.
