Is it possible to use a Business Process for a Deal to update a field for a Company record?

It can be done as follows:

1. You first have to create a Contacts BP (not a Deals BP), which will send an email - let's call it ABC
2. You then need to create a Deals BP, which will run ABC for the Deal's Contact. In this BP you will need to use a building block called "Run workflow" from the "Document processing" menu. The tricky part here is the value to be used in field "Document ID" - the correct format is "CONTACT_{=Document:CONTACT_ID}", which is not particularly intuitive. The rest should be self-explanatory.

And for everyone's benefit, in short: #1 is doable, #2 apparently not.

I have a very similar question to the one above, and one more:

1. Is it at all possible to design a BP which would send an email to a Contact when there is a change in the Contact's deal stage? Or more generally: [U]can an event in a deal trigger sending an email to the deal's contact[/U]?
2. Is it at all possible to design a BP which would send emails to Leads or Contacts [U]based on email templates[/U]?

If the answer to these two questions - as I suspect - is "no", is there a chance that these issues could be solved by developments made by Bitrix partners? Please note I'm referring to the cloud version.

Emails sent to leads/contacts are also sent to the integrated mailbox?
Dear Yana,

A few days ago we migrated our company's mailboxes to a different server. One of the migrated mailboxes is the mailbox we use for Bitrix's email integration. Since then every email sent from Bitrix to a lead or a contact has also been sent in parallel to the integrated mailbox. It's not what used to happen before the migration - we never received such emails into the integrated mailbox.

I also tested using mailboxes on a few different servers (than our old one and our new one) for Bitrix email integration. In all cases the emails get sent to the integrated mailbox. My question is: was there something wrong with our old server (i.e. we should have received these emails, but we didn't) or did you change something in Bitrix in the last few days?

I just thought I would share this with you.... Many users here and elsewhere on the forum have had a hard time to put up with the fact that notifications concerning messages sent in activity streams can't be set to be sent to users unless such messages are either specifically addressed to them, or their name is mentioned, or it is a reply to their post, etc.

Please reconsider giving the users an option to get notifications for all messages in a stream. Otherwise, just like our team, many teams may have to look for a different solution, like Sxxxx - (self-censored :) ), which makes it possible. And it's just such a waste and unnecessary complexity... In our case we're using Bitrix and Sxxxx in parallel, but some other users may just give up on you and look elsewhere altogether...

I don't get it... What should be the field type of the two variables and the type of the field in which I should store the result of the formula? I thought it would be, respectively, date and integer/number, but this does not seem to work (if the variables are dates, they can't be used in a formula to be stored in an integer/number type of field).
No notification received when message sent to me via stream of a deal
When a message is sent to me (I'm specified as recepient) via the general activity stream, I get a notification. However, I receive no notification when a message is sent to me (I'm specified as recepient) via the activity stream of a deal I'm responsible for. Is it normal? How in this case can I be sure I don't miss information concerning deals I'm responsible for sent to me by my colleagues?
How can I calculate the number of days between two dates in a Deal?

I'd like to use a business process to calculate the number of days between two dates in a Deal (two custom fields of type Date/Time), and store the result in a custom field (type Integer or Number). It does not seem to be possible though. When I try to write a formula for an Integer/Number field in a BP, I can only use Integer/Number fields' values in it. Or am I missing something?

Address field messed up, The address field in contacts has added multiple extra fields

While splitting the address field was obviously the right thing to do, it would have been even more appreciated if we had been properly informed in advance - here and/or on the blog.

In absence of such information I had to urgently perform an impact assesment for us. Thankfully all is fine (the old Address field is de facto still there), but you could have saved your users some stress and hassle by giving us a proper heads up.

Start new task in full task form?
By an "item" I mean a lead, a contact, a deal, etc. By a "grid view" I mean the screen listng all your items in a given category (the one you see when you click, for instance, CRM/Deals). By an "item's form" I mean the screen in which an item's details can be seen/edited (the one you see when you click, for instance, CRM/Deals and then one of your deals). If you create a task from within one of these screens, it will be automatically linked  to the item.

Not sure if it helps, but you can create a task from within a CRM item's form or by selecting an item in a grid view. In such case the task is linked to the item automatically.

I see what you mean, although I believe there is no restriction on BPs running when there is a change. I can have, for instance, a BP running automatically every time I change the person resposnsible for a contact. And it will run even if I change this field for many contacts in one shot (by clicking "check all" or "for all" and then selecting action "assign responsible person"). This may be even "heavier" that running BPs on imported records, but somehow the system is able to survive it :) So perhaps you could reconsider that restriction? Or at least make it less stringent (e.g. allow simultaneous run of the BP as long as not more than X records are being imported)? It would really make my life much, much easier...

I've noticed that when I create contacts or deals (I haven't tried with leads, but I bet it's the same story) via import form a CSV file, the business processes which are supposed to run automatically during creation of a contact/deal actually do not run.

Is this desired behavior, or something that should be fixed?

I'm referring to your instruction above. I can’t quite get my head around this. Please consider the following assumptions: [LIST]
[*]Our company uses a single, common, CRM-integrated email address to communicate with our clients – say [URL=mailto:sales@mycompany.com]sales@mycompany.com[/URL]
[*]Emails from addresses not recognised as contacts trigger automatic creation of new leads
[*]Employee Smith is responsible for new leads
[*]Employee Jones is responsible for Contact ABC
[*]Employee Jones is also responsible for Deal #123 with Contact ABC

Now consider the following scenarios:[LIST=1]1. Smith sees a new lead created out of an email coming from an unknown address. However, Smith realizes that this address is actually ABC’s private email address, and the message actually concerns deal #123. He would then like to delete the new lead (as it is not really a lead) and find a way to attach the message received to deal #123 and see it reflected in the deal’s activity/history.

2. Jones sees another message coming from ABC’s work address, so it’s recognized by the system. However, although it actually concerns deal #123, there is no service code included in the body of the message, so it does not get attached to the deal and does not get reflected in the deal’s activity/history.

At first I thought that in both cases the two guys could simply forward the received messages to [URL=mailto:sales@mycompany.com]sales@mycompany.com[/URL] with code [DID#123] in the subject line. However, the system would not allow it! The only workaround I could come up with was for them to forward the emails from within the CRM to their own addresses first ([URL=mailto:smith@mycompany.com]smith@mycompany.com[/URL] and j[URL=mailto:jones@mycompany.com]ones@mycompany.com[/URL]) and then forward them again – outside the CRM – back to [URL=mailto:sales@mycompany.com]sales@mycompany.com[/URL] with code [DID#123] in the subject line. This is quite cumbersome. Moreover, in such case Jones [U]does not receive any notification [/U](or any other hint from the system), so in case of Scenario 1 he is not even aware of the email received and he does not know that he should react to it.

Is there a better way to handle it?

I understand that if I work with the cloud version, and I want a lead-related process to run only if a change is made to its status (and not when a change is made to any other field), my only option is to launch it manually. Am I right?

I have the same problem. Checked the Settings and the Catalog - they're OK. Hopefully it is related to the update and can be solved quickly.

As a matter of fact in my company I would have to mass email deals much more often than contacts or leads. A typical scenario would be for instance to keep customers who bought a certain product informed about future updates/upgrades of that product.

Hi Yana,

Actually, I've already tried all that, but still can't find a way...

I'm sure the solution with the variable would work great... if only I could choose "Current Time" in a similar way to how it can be done for a default value of a custom field (1), but in this case I seem to be only able to either sel ect a fixed date fr om the calendar (2), or refer to another field (e.g. start date) referred to in the deal (3), but this is not what I need...

Any ideas?

I've set up a business process which performs a number of actions when the deal stage field value is set to X.

I'd like one of these actions to be to set the value of the field "Date of transition to stage X" to the date when the transition is made (i.e. the BP is run).

However, in the BP environment I seem to be able to choose only specific dates form the calendar (as opposed to a variable like "today").

Can you please advise how to work around this? Thanks in advance!
Emails sent/received to/from Deals - problem & question
Hi,

I have a problem and a question concerning emails exchanged with a contact in the context of a deal.

PROBLEM:

I send an email to a deal. The contact replies to the message. The message appears to be correctly attached to the deal at first. It is marked in the generic CRM stream as related to that particular deal (1), and it can be seen in the Deal's log of activity (2). However, I do not find it in the deal's stream (3) or the deal history (4). I can see the outgoing email, but not the reply to it... I do not have a similar problem with leads or contacts - I can see both the outgoing and incoming messages in all these four places...

QUESTION:

Why is it not possible to send emails to multiple deals using the grid (5), and to send emails to deals directly from the right-click menu (6)? Both these actions are possible for contacts and leads, but not for deals. Is there any good reason for that?
